WHO WE ARE

Joan Garry, a Montclair resident, is a nationally recognized nonprofit consultant, blogger, podcaster and author of Joan Garry’s Guide to Nonprofit Leadership. She is a sought after public speaker and is now the founder of The Nonprofit Leadership Lab, an online membership site for board and staff leaders of small to mid-sized nonprofits.

We may be a for-profit firm but we consider ourselves to be highly mission driven. Each of us is passionate about going the extra mile to support nonprofit leaders and to insure that nonprofits are as effective as they can possibly be. If that means we go above and beyond the call of duty, that’s what we do.

We are a small team of 3 that brings in folks to help us with various projects and the growth of the firm demands administrative support. We are looking for a person who shares our values of generosity of spirit, humor and a strong work ethic.

The candidate we seek will have a basic familiarity with nonprofits, ideally in a staff, volunteer or board capacity.

Our offices are located in Montclair Center and we anticipate 15-20 hours a week 3-4 hours daily on site.

DUTIES AND RESPONSIBILITIES

The Office Coordinator is responsible for day-to-day operations of the organization and provides executive support in a close working relationship on a variety of fronts. He/she will serve as a primary point of contact for internal and external constituencies on all matters pertaining to the senior team.

Responsibilities

  • Develop and maintain system of communication with the President to meet deadlines for all incoming and outgoing email, and mail
  • Manage President’s schedule with a holistic view of client needs and President’s work/life balance
  • Schedule internal and external meetings related to senior team and client matters.
  • Prepare and maintain client contracts
  • Manage the general email box, responding to emails and forwarding all relevant emails to other staff members
  • Coordinate all documents that require signature, review and approval (for example proposals and contracts)
  • Prepare, distribute and maintain client invoicing
  • Track business expenses
  • Maintain records and organization of office paperwork
  • Maintain company database
  • Maintain inventory of office supplies
  • Run errands i.e. post office, banking, etc.
  • Other related duties as assigned by senior staff

Job Requirements

  • MAC proficiency required
  • Ease with and enthusiasm for technology and new software.
  • Strong computer skills and proficiency in Microsoft Office
  • Internet research abilities and strong communication skills
  • Strong organization skills and attention to detail
  • Friendly, professional, and outgoing demeanor
  • Excellent phone etiquette
  • Strong interpersonal skills
  • Experience juggling multiple priorities at once and meeting deadlines
  • Ability to preserve confidentiality
  • Communication, planning, and coordination skills

The Candidate Must

  • Must have outstanding writing, editing, data entry, and proofreading skills.
  • Excellent communication and interpersonal skills, and the ability to prioritize and handle multiple projects are essential.
  • Be a forward thinker who anticipates and connects the dots in a multi-platform business
  • Must have the ability to work independently in an open space environment and an ability to manage multiple projects simultaneously.
  • Participate in the recruitment and selection of junior staff and interns; and ensure all direct reports master the skills and organizational savvy required for advancement
  • Be able to work in a team environment that promotes collaboration
  • Looking for a person who sees the glass as half full (or greater)
  • Laugh at all of the President’s jokes convincingly
  • Be adept at communicating effectively across all levels
  • Be able to establish and maintain effective relationships
